How to Upgrade/Downgrade the Storage of Your First Scan

When you upload your first scan to 3DICOM, it’s automatically stored in the cloud using the storage option you selected during the upload process. If you need a refresher on how uploading works, you can always revisit Uploading Your First DICOM Series.

This beginner-friendly guide explains where your scan appears, how the file structure workse how to manage your storage as you become familiar with the platform.

Where Your Scan Appears After Upload

Once your upload has finished processing, your scan will appear in two key locations:

O Atividade recente table appears on both the Dashboard and Upload pages. It provides a simplified list of your most recent actions and files.

You’ll typically see your newly uploaded scan listed right away here.

O Atividade recente table offers:

  • A clean, easy-to-read overview
  • A quick actions menu, including storage management, sharing, audit history, and deletion
  • Automatic updates as activity occurs (e.g., when you upload a new scan, or one is shared with you)

For first-time users, this is the easiest place to locate, open, and manage your scan storage.

2. Scans/Records Section (Your Full File Hub)

O Digitalizações/Registros section is the complete archive for all imaging files uploaded to your account, shared with you directly, or provided via a tenant you’re part of.

Here, 3DICOM organises all data according to the DICOM standard, meaning you must navigate through a hierarchical file structure to perform actions initiated at specific levels.

Patient → Study → Series

This structure gives you full clinical organisation, but can feel more complex for new users. Storage management is available here too, but you’ll need to navigate to the Study level to locate the Series to see the action option.

If you’d like to understand how storage types differ before navigating the hierarchy, see Understanding 3DICOM’s Storage Options.

Understanding Storage Types

During upload, you selected either Short-Term Storage or Long-Term Storage.
A summary of each storage option is provided below:

Armazenamento de curto prazo

  • Free for 7 days
  • Secure, time-limited cloud storage
  • Ideal for temporary or quick-access scans
  • Files are automatically deleted after 7 days unless moved to long-term storage

Armazenamento de longo prazo

  • Costs 5 credits per scan per year
  • Lasts for 365 days
  • Secure, persistent cloud storage
  • Best for scans you want to keep available long-term
  • Ideal for clinical cases, personal imaging histories, or ongoing follow-up

If you’d like a deeper explanation of each storage option, see Understanding 3DICOM’s Storage Options

How to Find and Manage Scan Storage

Using the Recent Activity Table (Easiest)

The Recent Activity table is the easiest location to view and update the enabled storage option for a scan that has been recently uploaded or shared with you (directly or via a tenant).

The steps below show you where the storage option for a scan is displayed, and how to update it.

Monitoring Your Stored Scans

Dashboard Tracking

3DICOM offers unlimited storage, so you never need to worry about running out of space or managing strict limits. Instead of tracking storage limits, the Dashboard includes a visual overview that helps you understand how your scans are distributed across storage types.

On the Dashboard, you’ll see a small visual aid that highlights:

  • The percentage of scans in Long-Term Storage (indicated in Green)
  • The percentage of scans in Short-Term Storage (indicated in Yellow)
percentage storage meter

This overview gives you a quick snapshot of how you’re using storage and helps you recognise when important scans may still be sitting in short-term storage where they’ll expire after 7 days.

If you notice a high percentage in short-term storage, it may be a good time to review recent uploads and move anything important into long-term storage before expiry.

Email Alerts for Expiring Scans

To help you avoid losing important files, 3DICOM automatically sends you notifications (via email and on your account) when a scan stored in Short-Term Storage is approaching its expiry. These emails give you time to review the scan and, if needed, move it into Long-Term Storage (365 days) before it’s permanently deleted.

This combination of the dashboard visual and timely email alerts makes it easy to stay on top of your stored scans without needing to manually track expiry dates.

Best Practices for First-Time Users

To make storing your first scan smooth and stress-free:

  • Explorar o Digitalizações/Registros section once you feel comfortable navigating DICOM folders
  • Use the Atividade recente table for quick access and simple management
  • Move important scans to Armazenamento de longo prazo for 5 credits to keep your file safe and accessible for 365 days.
  • Usar Armazenamento de curto prazo for temporary files, or quick reviews.
  • Explorar o Digitalizações/Registros section once you feel comfortable navigating the DICOM folder structure.
